IELTS Requirements
Announcement to Level 4/year 4 Bachelor Students Who Have Not Achieved IELTS 6.0

You can only register for your thesis after having achieved at least IELTS 6.0 (or TOEFL 76). Official confirmation of IELTS 6.0 has to be received by RSA before the start of the Winter semester 2020.

Test results submitted later will not allow you to complete your thesis on time for the 2020 graduation ceremony. No other tests (such as IELTS Indicator) will be accepted.

In order to make things easier for you, we have arranged test dates on 25 and 27 June. Tests will be offered by IDP in Muscat and will strictly follow MoHE’s regulations. This includes strict measures for social distancing to ensure a safe test environment.

Unfortunately, not all of you have signed up for these test dates. And not all who signed up have completed the registration with IDP. Please do so as soon as possible so that you can take the IELTS test on one of these dates (25 or 27 June 202o). If you have questions regarding the registration and logistics of the tests on 25 & 27 June, please contact Mr. RK at rk.nair@gutech.edu.om.

If you do not take your test on 25 or 27 June, you will have to arrange for your own test. You have three options where you can take the IELTS exam:

  • Hawthorn
  • British Council
  • IDP

We will accept the following IELTS tests:

  • IELTS Academic – paper-based test
  • IELTS Academic – computer-delivered test

Both tests require you to go to an official IELTS testing center and to complete the test there.

We do NOT accept the IELTS Indicator test.

Please be reminded that you can only start your thesis if you have IELTS 6. As you probably heard, we have not made exceptions in the last few years and will not do so this year.

Pass/Fail vs. Regular Grading

Pass/Fail vs. Regular Grading 

Due to the current circumstances, we understand that some students face challenges that could impact their grades. An adjustment to the regular grading indicated in your course specification can be considered at the request of the student.

Undergraduate students in the spring 2020 term will be given the option between keeping the regular overall percentage for a course or opting for a pass/fail (P/F) grade.

The choice of a P/F grade is left to you, and you can choose which course or courses you want for this option. A Pass grade gives you credits, but does not contribute to your GPA.

For example:

If you get 55 out of 100 as a final percentage grade in a course, you may decide to opt for (P/F grading) with no effect on your GPA. On the other hand, if you get 85 out of 100 in another course, it would be better to keep the final percentage grade and it will be counted towards your GPA.

To tell us whether you want to keep your regular final percentage grade of a course or to replace it by P/F grade. We will proceed as follows at the end of the SS 2020:

  • The regular grading type as defined in the course specification will be used and shown to you at the end of SS 2020 through your SIS account.
  • You will be given (7) calendar days after the release of the final overall percentage grade of a course to request the grade to be converted into a Pass/Fail grade.

We are still identifying how we will gather your requests, so please bear with us and know that information is coming.

Important Notes:

  • Late requests, the seven calendar days will not be considered.
  • Pass/Fail cannot be requested for the thesis.

Tips for Good Study Habits during Online Teaching and Learning

The switch to online learning may at first seem overwhelming. Things may feel out of control right now. Try to be patient with yourself during this time.

These practical tips can help you carry on learning remotely till the end of the Summer Semester 2020.

Get dressed up

Avoid the temptation to stay in your pyjamas. Start your day by getting dressed up as if you are leaving home to campus. It should help you get in the mindset of leaving to the university. Otherwise you might find yourself in the mood for longer sleep or stay-in-bed mornings.

Create a study place

Do you have a favourite spot to study at home? Make one for yourself! Having one dedicated

place for studying help you stay focused.

Establish a routine

Have a morning routine during your normal class days at university? Whether it’s grabbing a cup of tea or coffee or having breakfast in the cafeteria, try to find ways to replicate your normal university classes rituals at home before proceeding to your study place. This will help you mentally prepare to study.

Set boundaries

It can be hard to say “no” to family when you don’t have to go to class, but you can let them know you are not available and busy when you are in your study place.

Turn off distractions

Turn off your phone and your webcam. This isn’t always easy in an ever connected world but focusing on your tasks at hand will help you complete your work without delays.

Take breaks

With no commute time to campus, allow yourself to take short breaks during the day for a workout, or any other activity to help you relax and recuperate your focus.

Get organised

keep track of each online class requirements might seem overwhelming but keeping in touch with your instructors is key.

Find out from your Moodle how to access your lecture recording and materials. The Moodle platform will help you stay on top of all the deadlines and assignments. Make use of MS Teams to ask for help or Zoom in for a group discussion.

Check your email

Check your email… Check your email… Check your email!

Email is the primary communication tool that is used by your instructors and administrative staff. Read each email you receive so you have all the information you need to make it through this unprecedented time. You should check your Moodle daily to see what information has been posted by your instructors.

Communicate

It is more important now than ever to communicate with your instructors. If you are having any issues with your online courses, reaching out to your instructors will clarify your doubts and guide you through any confusion. Your instructors are here to help, let them know if you have any questions.

Please remember, this is temporary! things will get back to normal. We don’t know when, but it will happen.

Until then, take a deep breath, do your best, get some rest, and wash your hands.

We have compiled here all the announcements we have been sharing with you by emails during the current Covid-19 situation. These announcements are invaluable for helping you make the transition to the online learning and to decide about SS 2020 registration.

22.4.2020

MoHE released new guidelines regarding the dropping of courses and postponement of the SS 2020 for MOHE sponsored students.

According to MOHE guidelines, If you are facing serious health, social, financial or technical difficulties, you may request to either drop one or more courses, or to postpone the semester.

+ Drop Course(s): You may request to drop one or more of their ongoing courses for this semester by Thursday 23 April in writing, by email to  drop-course@gutech.edu.om  and you must explain the difficulties you are facing. This explanation needs to describe why some courses cannot be completed while others can.

+ Postpone Semester: In case of severe challenges, you may request to drop all courses and postpone the semester by Thursday 23 April in writing, by email to postpone@gutech.edu.om and you must explain the difficulties you are facing. This option is only possible for students who have not yet completed any course (e.g., a block course) during the current Spring Semester.

Approval Process: Your request to make any changes to your registration needs to describe in detail what the challenges are that prevent you from studying. Your request will be considered by GUtech’s Rector and if accepted, GUtech will send you a letter. You must have this letter from GUtech in order to apply for the dropping of courses or for Postponement through your electronic file at the Ministry. Once you receive the electronic response and approval from the Ministry, you must inform GUtech.

Your request to drop courses or postpone your semester is only final if approved by MoHE and recorded in EduWave.

16.4.2020

Pursuant to the Ministerial Decision 25/2020, MOHE has issued detailed instructions to help you make a decision about your registration for Spring Semester 2020. Please revise them to be able to make an informed decision about your SS 2020 registration.

15.4.2020

The Ministry of Higher Education communicated to all Higher Education Institutions that the online teaching will continue for the rest of this academic year.

The Ministry is also aware that for some of you, online learning is very challenging due to the lack of consistent Internet connectivity. In line with MoHE’s regulations, we give students the option to withdraw from one or more courses or to postpone the current semester if you are unable to continue studies for this semester under the current online teaching environment. However, you need to be aware that your graduation date will likely be delayed by one year if you decide to postpone your studies.

You will need to make some important decisions in the next few days. You can only select one of the following three options:

Option 1: I want to continue all the courses in which I am currently registered:

This is the default option. If you want to continue with all your courses, you don’t need to do anything.

Option 2: I want to drop a course or the thesis in which I am currently registered:

  • If you want to withdraw from one or more courses but still want to complete other courses this semester, please send an e-mail to drop-course@gutech.edu.om Please send this e-mail from your GUtech e-mail account and include your full name, ID number, and the name of all the courses that you want to drop.
  • If you want to postpone your thesis, please send an e-mail from your GUtech e-mail account to your thesis supervisor. Please send this e-mail from your GUtech e-mail account and include your full name and ID number. If your supervisor and HoD agree that you cannot carry out the thesis work in the current conditions, you can postpone your thesis. You can resume your work in the thesis with the agreement of your Supervisor and HoD once conditions improve.

Option 3: I want to drop from ALL courses which I am currently registered in and postpone my scholarship:

This option is only possible if you have not yet completed any course (e.g., a block course) during the current Spring Semester. If this is the case because you realize that online teaching is not suitable for you, please send an e-mail to postpone@gutech.edu.om . Please send this e-mail from your GUtech e-mail account and include your full name and ID number. We will then check if you are eligible for postponement and inform you. We will then also inform you of the steps you have to take to apply for the postponement of your scholarship. The postponement is only official after MoHE approves it.

Your feedback is required by Thursday, April 23 the latest.

These are very important decisions that also affect your graduation date. Please ensure you think them through carefully.

15.3.2020

While we understand the concerns and fear around COVID-19, it is extremely important to stay calm and keep an eye on your health and any symptoms that may arise.

We plan to move most classes online. We will run a pilot for students in the Bachelor of Computer Science starting Monday, March 16. On Tuesday, March 17, each program will offer one class per level to test the system further. This means that by Tuesday evening, all students will have experienced at least one online class and will have had a chance to give feedback on any issues. If all goes well, a more complete schedule will be taught starting Wednesday.

For the moment, we will follow the current timetable as published in the Student Information System. Classes that are difficult to deliver online (e.g., laboratory courses) will be delivered at a later point in time.

How do I get access to the online system?

It is Important that you join sessions as “Listen only”. The preferred browser is Chrome. Firefox might work, but please do not use Internet Explorer. The courses can be accessed on a desktop, laptop, tablet or phone.

What happens to exams?

For the moment, all exams are postponed until further notice.

What happens to excursions and field trips?

They are also postponed until further notice.

What happens to my thesis?

You can continue working from home on your thesis. You can use Microsoft Teams to meet with your supervisor. Please use your GUtech e-mail address to logon to this system. If your thesis requires lab experiments or field work, please contact your supervisor directly for specific advise and instructions.

Can I use the Library?

Please see the e-mail previously sent by RSA on how to access library resources. Should you need further assistance to access our resources, please send your email santiago.tagacay@gutech.edu.om.

What happens to block courses?

Block courses on campus have been cancelled too. Where possible, the professor will offer online teaching from their home country. Your department will confirm timings of such courses.

Where can I get technical help?

We also want to reiterate that the best prevention measures for any respiratory virus, including COVID-19 are:

  • Wash your hands often with soap and water or use an alcohol-based hand sanitizer.
  • Avoid touching your eyes, nose and mouth with unwashed hands.
  • Avoid close contact with people who are sick.
  • Stay home when you are sick.
  • Cover your cough or sneeze with a tissue, then throw the tissue in the trash.
  • Clean and disinfect all surfaces around you (laptop, desk, door handle,….)

FAQ

We would like to help you make a decision about your registration for the Spring Semester 2020. These FAQs address the most recurrent questions you may have in mind.

How do the new Ministry Regulations affect the GUtech Regulations for Online Teaching?

Both regulations are valid and are not in conflict with each other. However, it has become clear that we won’t be able to hold final exams that require students to come to campus.

Will there be a final exam?

As the university is closed until the end of the summer, we cannot hold final exams that require students to travel to campus. Instructors will give alternate assessments, which may include online exams, online assessments, take home exams, projects, reports, or any other suitable assessment methods.

How will our course grades be calculated?

Since we cannot hold exams on campus, assessments in most courses have to be changed. Your course instructor has probably already given you the new grade calculation scheme. If this hasn’t happened, please directly follow up with your course instructor.

Can I still choose the P/F grade for some of my courses?

Yes, the GUtech Regulations for Online Teaching are still valid. They specify that you will be able to select a P/F grade for percentage graded courses after the percentage grade has been released. The only exception is the thesis: As the thesis mainly consists of independent work and not of lectures and exams, the grade will remain a percentage grade.

How can I decide if I should (1) continue with all courses, or (2) drop a course, or (3) postpone the semester?

This is a difficult decision that only you can make. However, for organisational reasons and in order to give us enough time to coordinate with MoHE, you need to make this decision by Thursday, April 23 the latest. You have experienced online teaching through the last few weeks. This has given you an idea of what online education looks like and if it works for you.

Yes, it does require you to be very disciplined and dedicated, but I believe that most challenges can be overcome. However, if there is no chance for you to find a quiet room to study or you don’t have any reasonable Internet connection, you may need to postpone the semester. I am sure that the last few weeks have given you enough experience to make a decision.

Please communicate your decision to us via email to either drop-course@gutech.edu.om if you decide to drop a course, or to postpone@gutech.edu.om if you decide to postpone the semester.

Can Foundation Year students also drop courses or postpone the scholarship?

The Ministry Regulations do not exclude any specific level of students. So they apply to all students at GUtech: Foundation Year students, Bachelor students and Master students.

I am currently registered in the thesis. What are my options?

With the thesis, you can select one of two options:

  • Option 1: If there are extenuating circumstances (e.g., delay in access to material required for the thesis), the supervisor can request an extension of the submission deadline from the Department Head. Please coordinate with your supervisor.
  • Option 2: If current conditions do not allow you to do thesis work, you can postpone your thesis if your Supervisor and HoD agree that it is impossible to complete your thesis. You can resume your work in the thesis with the agreement of your Supervisor and HoD without penalty once conditions improve. You have to request postponement from the thesis by writing to your Thesis Supervisor, by April 23 the latest.

If I drop a course, how long will my graduation be delayed?

It depends. For courses in your program that are offered only once a year and that are prerequisites for other courses, the delay will most-likely be one year. For other courses the delay might be less. Many factors play a role here that are beyond our control.
